What the portal records

Your verified identity and work email, profile and company details, the agreed role, agreement status and references, optional email requests, contact introductions, business opportunities, deal-room messages, uploaded documents and the history of review decisions. Introduction records include the business contact details and evidence references you enter.

Why we use it

We use this information to review and administer the proposed relationship, control document access, record introductions and protection periods, coordinate commercial work and resolve corrections or conflicting claims. We retain decision history so that changes remain traceable. The relevant basis depends on the record, including steps requested towards a contract, performance of the relationship, legitimate interests in managing business contacts and claims, and applicable legal obligations.

Who can see it

Partners see their own authorised workspace. Ztrade administrators review partner records, introduction conflicts and opportunities. Another partner cannot browse your contact register. Access to confidential working records is paused when the partnership is suspended. Ztrade retains the underlying records for administration and applicable retention obligations.

The services used

Microsoft provides account sign-in. The portal is hosted with Oderland. Microsoft SharePoint holds the document library and, once the dedicated storage connection is activated, new deal-room PDFs. During the transition, earlier uploads and recovery copies may remain in private storage on Oderland. Uploaded documents are delivered only through authorised room access. Messages, document references and decision history remain in the private portal register. Agreement signing is administered separately through DocuSign; the portal records the signing progress and verified completion. Requesting email in this portal does not automatically create a mailbox.

Keep shared information relevant

Only submit business contact details you are entitled to share for this purpose. Make the relevant contact aware that you are introducing them to Ztrade and refer them to this privacy information or to Ztrade. Use short evidence references rather than pasting private correspondence. Do not enter identity documents, bank details, passwords or access codes.

Corrections, rights and retention

You may ask Ztrade about access, correction, deletion, restriction or objection where the applicable requirements are met. Use the introduction correction process for inaccurate business details, or contact Ztrade if you cannot access the record. We keep information for as long as needed for the relationship, documented claims and applicable obligations; retention is assessed when the relationship or purpose ends. A request to delete information does not necessarily remove records needed for a legal obligation or a documented claim.

You may raise a concern with the relevant data protection supervisory authority, including the Commissioner for Personal Data Protection in Cyprus. This portal notice supplements the Ztrade website privacy information.
